Board Roles

Board Info:

  1. Determine theme, typography, mods, inclusionaries.
  2. Have weekly meetings where all assignments are decided upon and divided up among the editors and  staff members.
  3. Follow up on every single assignment – check to see if all staffers are doing their jobs.
  4. Make sure that all deadlines are met by following the schedule.

Team Lead

  1. EVERYTHING related to your spread
  2. Making sure there are 6 stories (a timely/relevant/topical inclusionary, dominant story, + 4 other mods)
  3. And that the 6 stories fall within the parameters we have established (there’s an inclusionary; NO PIE CHARTS; Traditional Chrono coverage features an academic, club, and student life event; Sports coverage = varsity only, prioritizes Seniors, includes every member in some capacity as much as possible, is not informative, but commemorative; etc.)
  4. Brainstorming with the beginners what your team’s 6 stories will be (always plan more than 6 in case some don’t work out — I suggest 9-10)
  5. Assigning who will do what for your spread*
  6. Drafting an initial layout together 
  7. Drafting emails and establishing contacts together
  8. Providing moral support for interviews if necessary
  9. Daily Check-in and Check-out
  10. Identifying photography needs ASAP
  11. Knowing the style guide (for the most part)

Photography Editor

  1. Selects and assigns photographers for each event.
  2. Tracks the school’s activities to be sure each event is covered.
  3. Works with sections editors to determine photo assignments for each deadline.
  4. Notifies groups when photos are scheduled.
  5. Helps to train new staff about photography.
  6. Coordinates photo assignments with staff.
  7. Ensures no photo is used more than once.
  8. Coordinates with eDesign so it’s easy to locate the photo files when needed.
  9. Checks and prepares all spreads for submission to the publisher.

Section Editor

  1. Works with EICs to plan material covered in section and assign deadlines to pages.
  2. Works with design editor to plan layout of section, works with copy editor to plan stories/verbal coverage, works with photo editor to plan photo coverage.
  3. Keeps current section ladder and tracks page progress weekly.
  4. Supervises section teams.
  5. Does initial proof corrections for sections.
  6. Ensures copy and layouts are correct and consistent with the style guides.
  7. Coaches staffers to improve their spreads.
  8. Confirms page editors have indexed all names and checked spelling of every name on every page in the section.
  9. Whatever section you run, you must be there for more days every week
  10. Helps other seasonal section editors run their section smoothly
  11. Maintains coverage in the section. Ensures students do not appear more than once for the same topic.

Reference Editor

  1. Maintains a list of every student, faculty member, staffer, administrator, school support person, team, club, topic and section.
  2. Confirms staffers have entered all names from copy and captions per spread into the index.
  3. Notifies photo editor and copy editor of coverage concerns.
  4. Supervises editing and formatting of the final index.

Copy Editor

  1. Supervises all written work needed for yearbook, and edits all writing (captions, copy, interviews, titles)
  2. Helps to teach new staff about journalistic writing (interviewing, captions, quote format, copy, titles)
  3. Reads all copy for spelling, grammar, and style consistency.
  4. Helps EICs with copy content on cover, endsheets, theme-related pages, opening, divisions, closing.
  5. Checks and prepares all copy prior to submission to the adviser & publisher.
  6. Maintains copy aspects of style guide.
  7. Acts as a team lead (see job description below)

Editor in Chief

  1. Designs or oversees the cover and endsheet design and all theme-related content
  2. Leads by example — communicative, prompt, responsible, responsive staffer whose concern is for the staff as a whole.
  3. Conducts staff meetings to review deadlines, as well as upcoming photo and copy coverage.
  4. Compiles the ladder diagram with the Adviser and approves any changes to the ladder.
  5. Assigns staff to spreads.
  6. Checks and prepares all spreads for submission to the publisher.
  7. Works with Advisor to establish all deadlines, including staff rough and final deadlines.
  8. Assists advisers with assessments of each staffer’s participation and contribution following each deadline.
  9. Helps with day-to-day tasks, manages the staff, and acts as staff cheerleader.
  10. Tracks progress of deadlines weekly.
  11. Directly supervises cover, endsheets, theme pages, opening, closing, and divisions.
  12. Oversees ladder, deadlines, index, and tracks coverage. 
  13. Acts as a team lead (see job description below)

Graphic Design Editor

  1. Creates all layouts in the book (with input from other editors).
  2. Approves all changes in design to ensure they are in line with the theme.
  3. Helps to train new staff about design standards.
  4. Maintains design aspects of style guide, and makes sure that all staffers and editors follow it.
  5. Works with designers and section editors to modify layouts, as necessary, to meet spread needs.
  6. Checks layouts for consistency and quality.
  7. Checks and prepares all spreads for submission to publisher.
  8. Acts as a team lead (see job description below)

Staff Roles

Staff Info:

  1. Responsible for any task assigned to them, and tell a story through graphic design, photography, or writing.
  2. Responsible for meeting assigned deadlines.
  3. Works alone or with a team to complete spreads.
  4. Inputs spread into the computer.
  5. Writes copy and captions for each assigned spread, spell checks and proof reads all copy before submitting to the section editor.
  6. Checks pages for completion before submission to editors.
  7. Constantly generate content, though they do NOT have to know where it will go or how it will be used.
  8. Get quotes on everything. English classes. Homecoming. Everything.
  9. Responsible to editorial board and adviser.

Photography

  1. Brainstorms possibilities for every assignment, including a variety of photo composition, action, angles and perspectives.
  2. Notifies the photo editor and section editor if he or she can’t meet an assignment.
  3. Confirms with editors that photos fill all needs for the spread. If not, arranges for another opportunity to shoot the assignment.

Designer

  1. Builds assigned spreads by following the style guide set by the design editor.
  2. Chooses, crops and labels photos for each assigned spread.
  3. Looks at spread as a whole to ensure it is visually appealing and content is cohesive.

Writer

  1. Brainstorms copy and coverage for each assigned topic.
  2. Conducts necessary interviews and research for all copy.
  3. Expands on topics by adding supporting layers of coverage such as quote bars, time lines, personal profiles and more.
  4. Writes copy, captions and headlines for every assigned topic that requires it.
  5. Checks spelling of every name on each completed assignment.
  6. Spell checks and proofreads all copy.
  7. Checks copy for correctness, accuracy and completion.
